Description
Experience Level: Entry
We get orders from clients in PDF format. We use a program to convert the data to excel however there are some issues during that process that we manually fix. We get the orders in two formats, called T and U.
An example of that is a single purchase order number (PO) value is put in the rightmost column in pdf which applies to a number of cells. When converting to excel, this PO only refers to the cells on the same row but ignores the rows above and below. See screenshot 1T for the source PDF screenshot and screenshot 2T for the converted excel file screenshot. This is for T. For U, see screenshots 1U and 2U.
Another example of an issue that happens during the conversion process is shown in screenshot 1U and 2U where the data in the PDF is part of one cell, but during the conversion it goes to 2 separate cells. See the cell called MCMASTER OFFICIAL CREST TSHIRT - LT. GRAY/SMALL which is then split into two cells, one on top of the other. Another issue is that sometimes they give multiple columns of data for the qty line, one is less than the other, we always should go for the one showing the higher quantity and delete the column showing the lower quantity. If there is a missing value in any of the fields (shown for the MCMASTER OFFICIAL CREST TSHIRT - LT GRAY/XLARGE, there is no UPC or barcode), it should give a notice allowing us to continue or to ask us to enter a value there.
When that is complete, we try to fix the excel file to reflect the inconsistencies that happened because of the conversion. See screenshot 3T. For U, see screenshot called 3U
Then we add a line below after each PO is completed. We copy the data shown in the row just above and clear the values in the columns representing qty to 2, and the other data in barcode/UPC (and price if applicable) to blank. Then we delete the info shown in the first column and replace that with incremental values with starting with '01 which is then dragged down to the end of the data. See screenshots 4T, 4U and 5U and after the edits are completed. For U, in the final formal, we need only columns listed as ID, BARCODE, TITLE, SIZE, PRICE, QTY and PO in that order.
For T, we need ID, Title, Variant, Qty, UPC# and PO.
We need to be able to easily go from a PDF to the final excel sheet shown.
Since we have a limit of images, I've uploaded them to the following URL: https://imgur.com/a/kKUO1et
Whatever program or module that you can provide for this, needs to be able to work on a Windows 10 computer.
